Purchasing Administrator

£22,000 - £23,000 PA

PRESSURE TRANSDUCERS AND TRANSMITTERS / 50 EMPLOYEES / NORTH WALES

THE ROLE

ESI Technology is looking for a purchasing administrator to assist with the day to day accounts and purchasing activities of the company.. The role requires a highly motivated, observant individual with proficient planning and administrative abilities. 


RESPONSIBILITIES

Support in on time Supplier delivery

Activity:

1. Review on a daily basis all outstanding Orders and pending orders and be proactive in requesting confirmation delivery date.

2. Any Purchase order not already showing a confirmation flag after 5 days of order date email supplier and request written confirmation of PO details.

3. Ensure ABAS purchase Order Due Date are updated in line with delivery promise.

(Required Date remains at the Confirmation Date)


Non Stock Orders

Activity:

1. Actively review all purchase requisitions, instigate RFQ activity, and ensure best value to the business.

2. Raise all non-stock purchase orders using ABAS procedures.

3. Ensure all requisitions are processed in a timely manner.

4. Ensure any Non Stock Purchase Order is booked onto ABAS as soon as goods or service is delivered or complete.

5. Update delivery dates in line with delivery promise.


Production Stock Orders

Activity:

Using ABAS purchasing suggestions investigate and review demand with production/purchasing manager and place orders as needed.

1. Issue RFQ to suppliers and ensure best value to business.


Support and Ad Hoc activity to the Purchasing Function

Activity:

1. Manage admin reports on behalf of Stores

2. Maintain and update Approved Supplier list (ASL)

3. Maintain and update Purchasing Tier Metrics as needed

4. Ensure all business documents are scanned to HABEL in a timely consistent manor

5. File and archive all business documents as needed

6. Support reception activities and telephone duties


Accounts Administration

Activity:

1. Inputting of Purchase Invoices onto ABAS Should have general knowledge of accounts procedures and terms


AD HOC:

1. Updating Holiday Spreadsheet

2. Processing & Checking Sales Invoices

3. Processing Timesheets


Sales Administration

Activity:

1. Support Sales department in general admin activities

2. Help book and manage travel/hotel accommodations when needed. 



DESIRED EXPERIENCE AND SKILLS

The role itself requires a highly driven individual with a knowledge and passion for continuous improvement. Someone who is unafraid to propose changes where they see benefit and has the ability to take ownership of shaping the administrative process. The successful candidate is therefore likely to meet the following criteria.

  • Strong administrative and planning skills
  • Excellent verbal and written communication skills
  • An eye for detail
  • Proficiency with Microsoft Office and Excel
  • Highly organised with the ability to prioritise and take ownership of workloads
  • Approachable with excellent interpersonal skills and confidence in communicating with all levels of personnel/stakeholders
  • Conscientious approach to work with the ability to scrutinise and self-critique own work
  • Highly self-motivated and able to work with minimum supervision
  • Willingness and enthusiasm to take on new challenges and develop own role
  • The ability to be flexible and evolve with the ever-changing nature of the business
  • Ability to be a team player, while also having the ability to work independently
